About GetPaid For Gravity Forms
Every form submission can leave a new customer on your list
Someone asks for a quote through your site. You read the email, copy their name and details into GetPaid, create the document and send it. The message already held nearly everything, and you still type it in again.
This add-on joins the two parts: submitting a Gravity Forms form generates a quote or an invoice in GetPaid. If the email does not belong to any customer or user, it creates a new one with that address. That changes what the form is: it stops being a mailbox and becomes a way into your customer list. A bot submission or a mistyped address no longer stays as an email you delete; it can also leave a document and a customer in GetPaid. That is why the spam filter and the submission conditions deserve as much thought as the fields.
Feeds that turn each entry into a document
The work is organized into feeds, which are rules tied to each form and run when someone submits it:
- Document type: each feed generates a quote or an invoice.
- Field mapping: you link the form fields to the GetPaid ones. Values such as the entry ID or the date can also be carried over.
- Conditions: with Enable Condition, the feed runs only when some or all of the conditions you define are met.
Conditions mean that not every submission has to end in a document. For example, a feed can run only when the business size field is larger than 100. With that logic you can keep quotes for the requests that meet your criteria and leave the rest as a normal Gravity Forms entry.
One required field and eleven optional ones
The customer email is the only required field. The optional ones are customer name, first name, last name, website, business name, address, city, country, zip code, phone number and description.
That the email is enough does not mean you should ask for nothing else. If you are going to prepare the document later, each detail you do not ask for is one more message you will have to write. Description is the field where the visitor can tell you what they need.
The price comes later, not on the form
The form creates the request. Among the fields it collects there are no products or prices: afterwards, the admin adds the items to the quote or invoice and sends it to the customer for acceptance or directly for payment. With the quotes add-on, the quote is automatically converted into an invoice when the customer accepts it.
For selling fixed-price products and charging on the spot, this is not the route: here someone adds the items to the document afterwards.
Three plugins and one feed to get going
Besides this add-on you need GetPaid, the GetPaid quotes add-on and Gravity Forms. With all three active, follow this order:
- Create the request form in Gravity Forms, with at least the email field.
- Open that form's settings and go to the GetPaid section.
- Add a feed, name it and choose quote or invoice.
- Link the form fields to the GetPaid ones.
- Turn on a condition if you do not want to process every submission.
- Send a test, complete the document's items and review it before opening the form to the public.
Spam protection and pieces that finish the circuit
Since each submission can create records, the filter comes first. Gravity Forms Cloudflare Turnstile verifies in the background with no puzzles, and Gravity Forms Akismet Addon checks each submission against Akismet.
To get the document as a file, PDF Invoices generates the PDF of GetPaid invoices. If you sell with WooCommerce and want to swap the buy button for a quote request, YITH WooCommerce Request a Quote starts from the shop and not from a form.
Customers and items on each submission
What does the form need at a minimum?
An email field. It is the only one required to create the invoice or quote.
Are existing customers duplicated?
The automatic signup happens when the email is not linked to any customer or user.
Can the items come from the form?
The intended route is to add them afterwards, from the document, before sending it to the customer.
What happens when the customer accepts a quote?
It is automatically converted into an invoice.
