About WP All Import Pro WooCommerce

The first import is easy; the one that breaks a shop is the second

Loading two hundred products into WooCommerce by hand is a lost week, and the supplier sends another file with new prices the following month. That is what an importer is for: upload the CSV, the XML or the spreadsheet, say which column goes to which field and let it build the catalogue.

That first time almost always goes well. The problem comes with the second, when you run the updated file again and the tool has to decide, row by row, whether that product already exists or is a new one. If it gets it wrong, duplicates appear, products that should not change get overwritten, or the ones that should change are left as they were.

WP All Import settles that decision with a unique identifier, which has to be different for each row and never change from one file to the next. The SKU or the supplier ID work. The price or the description do not, because they change. Choosing it well on day one is half the job.

From spreadsheet to catalogue: what it imports

  • Any source: CSV, XML, Excel or Google Sheets, also downloaded from a URL or via FTP, with files of hundreds of megabytes even on shared hosting.
  • Every standard product type: simple, variable, simple subscription, grouped and affiliate.
  • Every field, from sale price to attributes and stock status, plus categories, tags and custom taxonomies.
  • Images from a URL, from your computer or matched with the ones already in WordPress, with their gallery.
  • Orders and customers, not just products.
  • Selective updates: you choose which fields are touched when an import runs again and which are left alone, and you can pass the data through PHP functions.

What is missing from the file is also a decision

When the supplier stops carrying a product, it simply disappears from their file. WP All Import can react to that: send it to the trash, which is what it does by default if you enable the option, switch it to draft or private, mark it as out of stock or delete it completely.

For a shop, marking it out of stock is usually the most sensible choice: the page still exists, keeps whatever it has earned in search engines and sells again if the product returns. Deleting carries two risks: it cannot be undone, and if it is not scoped it can also affect products you created by hand. Take a backup before enabling it.

Dirty data and scheduled runs, on your side

It does not clean your data. If the supplier file has repeated SKUs, categories written three different ways or prices without tax when yours include it, that goes in as it is. PHP functions help to transform, but someone has to know what to transform.

Nor does it schedule by itself on any server: recurring imports run with cron jobs that call a processing URL every two minutes, or with the vendor's paid scheduling service.

The server it needs and the first test

The WooCommerce importer needs its add-on active together with WP All Import. On the server it asks for PHP 7.4 or higher, MySQL 5.5 or higher and the cURL, SimpleXML, xmlreader, xmlwriter and ZipArchive extensions. If an import stops because of time limits, the fix is to lower the records per iteration.

  1. Go to All Import, New Import, upload the file and choose WooCommerce Products.
  2. Drag each column to its field and check the preview.
  3. Set the unique identifier to the SKU or the supplier ID.
  4. Test with twenty rows before running the whole file.

Alternatives in the catalogue

If you are missing the base, WP All Import Pro is in the catalogue, along with its add-on for ACF fields. For the opposite direction, getting data out to a file and editing it in bulk, WP All Export Pro. And if what you are bringing over is a Shopify store, Import Shopify to WooCommerce is designed for that move.

Questions when importing products into WooCommerce

Can I update prices and stock with a new file?

Yes, by running the import again and choosing which fields are updated.

What should I use as the unique identifier?

The SKU or the supplier ID. Never the price or the description.

Does it import variable products?

Yes, along with simple, grouped, affiliate and simple subscription products.

What happens to products no longer in the file?

You decide: trash, draft, out of stock or permanent deletion.

Can it download the supplier file by itself?

Yes, from a URL or via FTP, on every scheduled run.
